Event Manager – monitoring of corporate processes

EXACT Event Manager represents a solution for monitoring business activities (BAM – Business Activity Monitoring). In processes there constantly occur certain events, which the company (i.e., its employees) must react to. EXACT Event Manager makes it possible to record these events and perform an automatic event –for example inform the user about the incidence of an event, to record information about the event in the corporate information system, to generate the necessary workflow or automatically resolve a problem that has arisen.
EXACT Event Manager is a tool for the proactive prevention of problems – it allows the recording of an arising problem at its very beginning and warns the responsible person of this possible inception of a problem or knows how to react to the problem automatically as well as how to solve it. In this way key persons will always have information about the running of their processes, i.e., for example information about whether the warehouse stock of our most profitable product is running out. In such a case ordering during zero stock state would clearly mean a loss, and for this reason it is possible to react, for example, when there are 50 items and to automatically send an order to the supplier.

Linkage with various data sources

EXACT Event Manager can be linked to any database, and so it is able to react to the occurrence of events in different systems, not only in EXACT Software business systems. In addition to applications of the type SAP or Microsoft, it is possible to connect up to any other database, for example even to specialised and customised applications.
This property enables the definition of a large number of events in systems and in processes to which EXACT Event Manager should react.Along with a definition of whom to send these notifications, a managed company is created proactively, which knows about this problem before it occurs and so can react to it flexibly.
The definitions of events and notifications are designated for the administrator of the system, the regular users do not come into contact directly with the system EXACT Event Manager, but this tool generally generates the initial impulse that something is wrong or that something needs to be done.

Other possibilities consist of the automatic recording of documents in the application EXACT Synergy Enterprise, for example in case of using a scanning line. Documents are scanned to the directory of the system file, which constitutes an event for EXACT Event Manager, which then runs a specialised tool for the import of documents to EXACT Synergy Enterprise.
EXACT Event Manager can also react to incoming emails and perform actions with them – for example it can answer them or record them in the database of the enterprise information system.
One significant advantage of the use of are the so-called Event Packs.These are packs prepared in advance of events which customers most often monitor in various enterprises. For instance, there is an Event Pack for EXACT Synergy Enterprise, EXACT Globe and other ERP systems Exact Software, systems of the company Sage, product range Microsoft Dynamics or SAP Business One.

Practical examples of use of EXACT Event Manager

The following list contains some of the many practical examples of use of the EXACT Business Analytics.

• automatically send electronic repeat orders to suppliers or send warnings about items which are available only in limited series of 'x' units (or ‘x’ percent) of their level of order,
• compare product prognoses with the state of current orders, by which you will avoid shortages or surpluses,
• identify the increase in production costs, monitor excessive increases and assign these products to orders not yet sent out (and notify clients),
• monitor the changes in development of “continuous orders” of your customers (in particular discounts claimed for these continuous orders), and notify the sales department and financial department of them,
• identify sales orders past their expiry date,
• send out notifications of excessive discounts at your own discretion applied to a special product range or implemented by special sales personnel,
• monitor the commission of sales representatives above/below a pre-designated framework,
• monitor expenditure or utilisation of employees above/below a certain ceiling,
• check the state of unresolved orders for specified customers on credit, and notify the sales department, finance department and the client itself,
• inform your human resources department about employees where an unusually high (or low) number of sick days have been recorded,
• keep customers informed about the state of unresolved orders and/or part deliveries,
• inform customers of the payment of a subscription, which will soon expire, or inform those who report for its renewal,
• monitor change in conditions relating to the price range of the product; if the margin falls below the limit 'x', send out a notification,
• identify and send out notifications about an abnormal increase in the price of acquired or sold goods,
• monitor sales performances; minimum or maximum overall values for individual chain states, regions, branches, product range, sellers, teams of sellers etc. Also monitor minimum or maximum average price for each product range,
• automatically email, fax or send an electronic requirement for additional ordering of warehouse stocks which display a low state,
• monitor employees with excessive recorded overtime,
• as soon as the order record is indicated as “confirmed” in the sales system, the invoice for the given order is automatically faxed to the customer,
• distribute details of a programme of meetings by email and fax 'x' hours before the meeting starts,
• check new incoming email concerning a question in the area of support, inform the administrator of the account of the relevant client in the matter of the question of support and automatic reaction to client informing him of a problem that has occurred,
• monitor the shipping department concerning shipments or the fulfilment of deliveries which were just about to be dispatched but were delayed,
• inform the company management of the fact that more than ‘x' emails relating to support come from a certain client.

The flexible mechanism for the definition of events and reactions to them in the EXACT Event Manager system offers these and many other possibilities.
